Terms & Conditions

These Terms & Conditions govern all safari inquiries, quotations, bookings, and related services provided by GambaUganda Safaris. By confirming a booking, you acknowledge that you have read and accepted these terms.
1. Definitions
- Company / We / Us: GambaUganda Safaris.
- Client / You: Any person making an inquiry or booking.
- Booking: A confirmed safari arrangement accepted in writing by the company.
- Suppliers: Third parties including lodges, transport providers, guides, and activity operators.
2. Quotations and Pricing
- All quotations are based on the information available at the time of issue.
- Quoted prices may change before confirmation due to permit fees, supplier rate changes, taxes, exchange-rate fluctuations, or government levies.
- A final confirmed price applies only after written booking confirmation and receipt of required payment.
3. Booking Confirmation
A booking is confirmed only when:
- We issue written confirmation; and
- The required deposit has been received and acknowledged.
Until confirmation is complete, safari permits, rooms, and activities remain subject to availability.
4. Payment Terms
- Deposit and final balance deadlines are specified in your invoice or written confirmation.
- Accepted payment methods are provided in your invoice.
- Bank fees, intermediary charges, and transfer costs are the client's responsibility unless explicitly agreed otherwise.
- Late payment may result in cancellation of un-secured services or additional costs where suppliers apply penalties.
5. Cancellations by Client
- All cancellation requests must be submitted in writing.
- Cancellation charges depend on timing, permits, and supplier cancellation policies.
- Non-refundable items (including many permits and some prepaid supplier services) remain non-refundable once purchased.
- Any refundable amount, if applicable, is returned after supplier reconciliation and deduction of applicable costs.
6. Amendments by Client
Changes to travel dates, route, accommodation, or participant details are subject to feasibility, supplier approval, and possible re-pricing. Amendment fees may apply where suppliers impose change penalties.
7. Changes or Cancellation by Company
In rare cases, we may adjust itinerary elements due to safety, weather, force majeure, supplier failure, or operational constraints. Where practical, we provide reasonable alternatives of comparable value. If an essential service cannot be delivered, we will discuss available remedies in good faith and in line with supplier terms and applicable law.
8. Travel Documents and Entry Requirements
You are responsible for obtaining and carrying valid travel documents required for your itinerary, including:
- Passport validity and visa requirements.
- Vaccination and health documentation.
- Any entry/exit forms or transit authorizations.
We are not liable for losses resulting from denied boarding, denied entry, or delays caused by incomplete or invalid documents.
9. Health, Fitness, and Special Requirements
- You must disclose relevant medical, mobility, dietary, or accessibility requirements before confirmation.
- Some activities (including trekking) require moderate to high physical fitness and may be restricted by park regulations.
- You are responsible for obtaining independent medical advice and ensuring fitness to travel.
10. Travel Insurance
Comprehensive travel insurance is strongly recommended and should include medical expenses, evacuation, personal liability, trip cancellation/interruption, and loss or delay of baggage.
11. Conduct and Compliance
You agree to follow guide instructions, park rules, lodge policies, and local laws. We reserve the right to remove a participant from a service where conduct endangers safety, violates laws, or materially disrupts operations, without refund for unused services where such removal is justified.
12. Third-Party Services
We coordinate services delivered by third-party suppliers. While we select partners with care, each supplier remains responsible for its own services, acts, and omissions subject to applicable law.
13. Liability Limitation
To the extent permitted by law, GambaUganda Safaris is not liable for indirect or consequential losses, or for events beyond reasonable control, including but not limited to weather events, natural disasters, pandemics, civil unrest, road closures, government actions, or force majeure.
Nothing in these terms excludes liability that cannot legally be excluded.
14. Complaints and Claims
If a service issue occurs during travel, you should report it promptly to your guide or our operations contact to allow immediate resolution. Formal complaints should be submitted in writing within a reasonable time after trip completion, including supporting details.
15. Privacy and Data Protection
Use of personal information is governed by our Privacy Policy.
16. Intellectual Property
Website text, branding, and media are owned by or licensed to GambaUganda Safaris unless otherwise stated. Unauthorized reuse may be restricted by law.
17. Governing Law and Jurisdiction
These terms are governed by the laws applicable in Uganda. Any dispute will be addressed in good faith first and, where unresolved, submitted to the competent courts or lawful dispute-resolution mechanisms in the applicable jurisdiction.
18. Updates to These Terms
We may update these Terms & Conditions from time to time. The latest version and effective date are published on this page.
